# A practical checklist for cleaner gym member records

A clear member list makes ordinary gym work easier to follow. The goal is not a perfect spreadsheet. It is a shared record that your team can understand when checking a membership, finding the right person, or reviewing an export.

## Choose one current member list

Decide which list your team should treat as the current version. If people work from different files, mark older copies clearly and agree on where updates belong. Include a date in exported filenames so yesterday’s copy does not quietly become today’s working list.

When you move between a paper register, spreadsheet, and software workspace, compare a small sample of records first. Keep the original while you check the new copy.

## Make the important fields consistent

Use the same spelling for each membership plan and a consistent format for dates. Separate a person’s name from the identifier your team uses to distinguish their record. Two people can have the same name, and one person may appear with different spellings.

Keep notes factual and relevant to the gym’s work. Collect only the information you have a clear reason to use, and limit access to the people who need it. A clean operational record is more useful than a large collection of unrelated personal details.

## Review duplicates before changing records

Treat duplicate-looking entries as a question to investigate. Compare the identifier and the relevant details rather than deleting a row because a name matches. If you use a spreadsheet’s duplicate-removal tool, make a backup and check which columns it will compare.

Microsoft distinguishes filtering unique values from removing duplicates: filtering changes what you see, while duplicate removal changes the data. Choose the action that fits your review, and keep a recoverable original before making a permanent change.

## Check dates and payment records separately

Review membership start dates, end dates, and plan names for obvious inconsistencies. Check a payment record against the membership it relates to rather than assuming an entry proves that every detail is correct.

Use a small exception list for anything that needs a conversation or another source document. Resolve those items deliberately. Do not fill gaps by guessing a member’s dates or payment history.

## Make the review repeatable

A short checklist your team actually uses is more useful than a complicated process that is abandoned. For example: review new records, check exceptions, inspect possible duplicates, and save a dated export after the review.

CANNIN’s gym preview includes member records, membership and payment records, and CSV exports using sample data. You can explore how those areas are organized today. Live organization accounts and enrollment will be available at launch.
